Thank you so much for considering me to lead worship for your event! It is an honor that you would think of me. The following is a letter from my leadership. I greatly appreciate your time in reading this before officially sending your invitation. Thank you!
Dear friends in Christ,
We appreciate your role in revival and considering Kim Walker to come and be a part of it. Kim is a beloved daughter of this house and an extremely valuable member of our team, here at Bethel Church, Redding. As such, we are highly protective of her and interested in her short and long-term success. So we have built a team around her to sift through the many, many opportunities she receives and developed this set of expectations. The following is what we consider requisite for her to come and lead worship at your event.
The nature of Kim's ministry is one where she is lead by Holy Spirit in worship. When she worships, she thoroughly enjoys the presence of God. She is very passionate, laughs, dances and occasionally sings in tongues. If this is not "ok" with your belief system or culture, you will not be "ok" with Kim. She does not do concerts or performances and is not interested in being booked for them.
Kim's primary instrument is her voice; she does not yet play an instrument. Therefore, when you consider inviting her, it is ideal to bring out 5 people (this includes Kim and the band). We highly recommend budgeting to bring the band along with Kim, so that you can have the most benefit. They are a seamless team and this is when she is at her best as she can focus on leading and doesn't have to think about the band. As well, the band members are fun, anointed musicians and we know you will enjoy having them.
The minimum you need to budget for is 2 people. We don't want Kim to travel alone. Her bandleader, Jeffrey, is willing to play and work with your band if their skill level is sufficient. Kim and Jeffrey would need to come at least one day early to work with your band. Kim will send play-lists and chord charts ahead of time. Hopefully through phone calls and/or emails, everyone will be prepared.
This is the part that requires frank communication and you must speak the truth in love to your band even as we are doing with you; during rehearsal, if it becomes obvious that the band isn't yet at the required skill level, you will need to gently inform the band that Jeffrey will be her sole musician. (The two of them are amazing.) We do not mean to be rude but we have learned first hand (sadly several times) that it does not work any other way. A preacher would be incredibly frustrated if he or she had to speak with constant feedback in the sound system. Nor would their message accomplish all it was intended to. It is the same way with music – a quality band is a must. Please inform you band of this as soon as possible so it is not a shock to them. Another lesson we learned the hard way (again publicly) is that having two worship leaders co-leading a meeting, takes a lot of relationship, trust and covenant to work well. Kim does not have the time to build that rapport with another leader at your event so please do not put Kim in this position.
Kim and her band need to fly out of Redding. She works for us and has many responsibilities we expect her to fulfill, so we are interested in expediting her travel. They will let you know the available ticket prices and will buy the tickets themselves. They would need to be reimbursed as soon as possible as the tickets are on their personal credit cards, certainly before they leave for the trip. The reason for this is the amount of travel Kim and the band are doing, as their leadership, we feel it is to her benefit to be part of a mileage club and schedule all flights accordingly. This is part of her long-term success. Kim will find the tickets on United Airlines and coordinate prices with your team.
A rental car is not necessary if you are going to handle all the rides to and from the airport, etc. The best place for Kim and the band to stay is in a hotel/motel of decent quality. A place you would be glad to have your daughter stay. Jeffrey and/or the band need the same. However, the band, God bless them, is willing to stay 4 to a room, as they are all male.
Kim and the band do not require a set amount or fee for their ministry. Obviously, we ask that you cover all of hers and the band's travel expenses, which includes the airfare reimbursement, hotel, and food. We operate on a culture of honor and believe ministers are worthy of being blessed for the grace on their lives and their hard work. We know it is in all our hearts to live generously so an honorarium, which keeps in mind the number of band members and the length of time they are away from their jobs, is encouraged.
Please don't misunderstand our heart. Kim and the band are great servants and wouldn't mandate these guidelines for themselves, but we know them to be necessary. These things are not obvious to everyone. Kim and the band have been put in some very awkward and difficult situations in times past.
If you are in agreement with all of this and have read and agree to the financial responsibility, the next step is to fill out the invitation form. If you do so, we are expecting that your decision makers be in agreement with all of the details of this letter. Kim's team will consider the invitations prayerfully and give approval if that seems good to the Lord.
